Acceptance

These terms govern your use of Crownly. By creating an account, signing in, or using the Crownly application or marketing site, you agree to these terms. If you are accepting on behalf of a clinic or organisation, you confirm that you have authority to do so.

The service

Crownly is a cloud based practice management system for orthodontic and dental clinics. It is administrative software. It is not a medical device, not a diagnostic tool, and not a clinical decision support system. Clinicians remain solely responsible for their clinical judgement and care decisions.

Accounts and team access

The account owner is responsible for the actions of every team member they invite, for keeping login credentials secure, and for ensuring team members only access the clinics and patient data they are authorised to see. Sharing credentials between people is not permitted; invite each team member with their own login.

Acceptable use

• Only store data your clinic is legally authorised to hold.
• Do not use Crownly to send unsolicited or harassing messages to patients, including over WhatsApp.
• Do not attempt to reverse engineer, scrape, or interfere with the service, or to access another clinic’s data.
• Comply with applicable healthcare, consumer, and data protection laws, including the Digital Personal Data Protection Act 2023.

Data ownership

Your clinic owns the data it puts into Crownly. We process that data only to deliver the service. You can export your patient and treatment records as CSV at any time from within the application.

Subscriptions and payment

Crownly is sold as a monthly subscription, priced per clinic per month, billed in USD. Every plan starts with a 30 day free trial and no credit card is required to begin. The pricing on the pricing page is the current price; if we change pricing, we will give existing customers at least 30 days’ notice. Taxes are extra where applicable.

WhatsApp messaging

WhatsApp messages from Crownly are sent through Meta’s official WhatsApp Cloud API. Per-conversation messaging fees charged by Meta are passed through to the clinic. Meta’s WhatsApp Business policies apply in addition to these terms.

Cancellation and refunds

You can cancel any time. Access continues until the end of the paid period; we do not pro-rate refunds for partial months. After cancellation, your data remains exportable for 30 days, then is permanently deleted from active storage.

Service availability

We aim for high availability but do not offer a formal service level agreement at this stage. We will publish an SLA once the service has stabilised. Planned maintenance, where required, will be communicated in advance.

Liability

Crownly is provided on an “as is” and “as available” basis. To the maximum extent permitted by law, our aggregate liability arising out of or related to these terms is limited to the fees you paid us in the 12 months immediately before the event giving rise to the claim. We are not liable for indirect, incidental, special, or consequential damages, or for lost profits, revenue, or data. These limits do not apply to liability that cannot be limited by law, such as gross negligence or wilful misconduct.

Indemnity

The clinic agrees to indemnify and hold Crownly harmless from claims arising out of the clinic’s use of the service or the clinic’s handling of patient data, except where caused by Crownly’s gross negligence or wilful misconduct.

Termination

Either party may terminate at any time. We may suspend or terminate access for non-payment or for material breach of these terms, with reasonable notice where practical.

Changes to these terms

We may update these terms from time to time. We will post material changes on this page and notify account owners by email. Continuing to use Crownly after a change means you accept the updated terms.

Governing law and disputes

These terms are governed by the laws of India. The courts at Kozhikode, Kerala have exclusive jurisdiction over any dispute arising out of or related to these terms or the service.
